The Opportunity- Project Coordinator The Project Coordinator at Willstrong is responsible for providing comprehensive administrative and coordination support to one or more assigned projects.
Reporting directly to the Project Systems Manager or another assigned supervisor, the Project Coordinator ensures the seamless and efficient operation of the company by executing a variety of tasks related to organization, communication, and administration.
Key responsibilities as a Project Coordinator- 1.
Support for Project Teams Provide high-level support to Preconstruction Teams, Project Teams, and the Executive Team through various administrative tasks.
Facilitate communication and organization to enhance the overall efficiency of the company's operations.
2.
Vendor Management Bid and vet new vendors as required, scheduling appointments, and disseminating information.
Conduct quality checks on design deliverables to align with vendor proposals and construction estimates.
3.
Sample Library Management Create and organize the office sample library by obtaining the latest material samples and ensuring proper labeling.
4.
Estimating Support Perform quantity takeoffs of finish selections using Bluebeam and coordinate with the Estimating team for accuracy in proposals and estimates.
Research, qualify, and assist in selecting new subcontractors and suppliers.
5.
Technology Integration Assist in the research, development, and implementation of design selection software, such as The Interactive Abode, and integrate it with Procore.
Work with Estimating, Purchasing, and Trade Partners to secure option pricing.
6.
Option Catalog Maintenance Build and maintain option catalogs and pricing/margins in coordination with the Purchasing team.
Facilitate the approval process of finish samples and mockups, tracking all submittals on Procore.
7.
Custom Option Pricing Price out custom options as needed and ensure accurate information on commitments and work documents.
Assist the field with any questions regarding vendors and commitments.
8.
Permit Tracking and Coordination Manage building permits, including tracking and resubmissions.
Maintain an accurate tracking system for permits, providing weekly updates to project teams.
9.
Project Setup and Coordination Assist with the coordination of new project setups, including maintaining Procore.
Maintain a status/critical dates report to ensure all deadlines are met.
10.
Change Event and Quality Control Draft and review change events and change orders as needed.
Assist in the creation and execution of quality control measures and methods, including checklists, inspections, QR codes, and handbooks.
11.
Documentation and Communication Maintain and update project information, documentation, and communication within the Procore platform and the internal drive.
12.
Client and Team Relations Provide excellent service levels to clients and team members, both internal and external.
13.
Continuous Improvement Stay updated on industry trends and best practices to enhance project efficiency and effectiveness.
14.
Special Projects Undertake other duties and special projects as needed.
